Setup

Before creating your first vinification you must configure the app once. This involves the Vinification Setup page, the grape and wine items, and the wine treatment reason codes.

Vinification Setup

Search for Vinification Setup using Tell Me and fill in the fields below.

Number series and location

Field	Purpose
Vinification Nos.	The number series used to assign a unique number to each new vinification document.
Default Location Code	The default warehouse/cellar location proposed on new vinification documents.

Reason codes

Each wine treatment phase is posted with a dedicated reason code. The reason codes must be flagged as wine treatment reason codes (the Wine Treatment mark in the EOS WINE reason code setup).

Field	Purpose
Vinification Reason Code	Reason code for the initial vinification treatment.
Fermentation Reason Code	Reason code for the fermentation treatment.
Wine Production Reason Code	Reason code for the wine production treatment.
Cellar Surplus Reason Code	Reason code for the cellar surplus produced beyond the standard yield.
Coal Treatment Reason Code	Reason code for the activated carbon (coal) treatment of grape must.

Units of measure and lot numbering

Field	Purpose
KG Unit of Measure	The unit of measure that represents kilograms, used for weight-based quantity conversions.
Liter Unit of Measure	The unit of measure that represents liters, used for volume-based quantity conversions.
Use Last Lot No.	When enabled, output items are pre-filled with the most recently used lot number where applicable.

Items

Open the Item Card of each grape item you vinify. In the Vinification group set the output items that this grape produces and the calculation factors.

Output item mapping

For the grape item, point each output to the corresponding item:

Stems, Destemmed Grape, Grape Pomace, Grape Must, Fermenting Wine, Wine Lees, Finished Wine, Reserve Wine, Downgraded Wine, Treated Grape Must.

When you later select this grape on a vinification document, these output items are copied automatically into the document.

Calculation percentages

Field	Purpose
Yield %	Expected percentage of grape must or wine obtained from the total grape mass.
Surplus %	Expected percentage of cellar surplus produced beyond the standard yield.
Stems %	Expected percentage of the grape mass consisting of stems.
Grape Pomace %	Expected percentage of grape pomace remaining after pressing.

Date calculation formulas

Field	Purpose
Vinification Date Calculation	Date formula (e.g. `7D`) added to the document date to obtain the vinification date.
Fermentation Date Calculation	Date formula added to the document date to obtain the fermentation date.
Wine Prod. Date Calculation	Date formula added to the document date to obtain the wine production date.

White vs. red wine

The grape item’s Vinification Type (White or Red) determines processing rules. The Coal Treatment option on a vinification is only available for white grapes.

Lot number generation

To auto-generate lot numbers for output items, configure on each output item either:

a Lot No. Formula (EOS WINE lot formula), or
a Lot Nos. number series.

Item categories

For sales traceability, open the Item Category Card of the relevant categories and set the Wine Category Type:

Grape Must, Treated Grape Must or Fermenting Wine.

This classification controls which vinifications a sold item can be linked to.

Creating a document

Open the Vinification List and choose New, or open a blank Vinification card.
The No. is assigned automatically from the number series. You can also use the assist-edit (…) button to enter a manual number if the series allows it.
Fill in the General group.

General group

Field	What to enter
Date	The date the vinification process starts. It is the base for calculating the vinification, fermentation and wine production dates.
Item No.	The grape item being processed. Selecting it pre-fills the output items, percentages and date formulas from the item card.
Description / Description 2	Filled automatically from the grape item.
Lot No.	The lot number of the input grapes, for traceability.
Mass	The total weight (kg) of the grape input. This value drives all output quantity calculations.
Degree %	The sugar content (potential alcohol) of the grapes.
Yield %, Surplus %, Stems %, Grape Pomace %	Calculation percentages, pre-filled from the item but adjustable per document.
Vinification / Fermentation / Wine Prod. Date Calculation	Date formulas, pre-filled from the item.
Vinification / Fermentation / Wine Production Date	The dates calculated from the formulas above.
Location Code	The cellar location where the process takes place and outputs are stored.
Status	Read-only. A new document starts in Processing.

Tip: Changing the Date or a Date Calculation formula recalculates the related processing dates automatically.

Items

Open the Items group. The output items and their lot numbers were pre-filled from the grape item card. Review them and adjust if necessary:

Stems, Destemmed Grape, Grape Pomace, Grape Must, Fermenting Wine, Wine Lees, Finished Wine, Reserve Wine, Downgraded Wine.
Each output has a matching … Lot No. field. The lot field is enabled only when the output item requires lot tracking.

Coal treatment (white wines only)

If the grape is a white wine, you can enable Coal Treatment to add an activated carbon clarification phase:

Field	Purpose
Coal Treatment	Enables the coal treatment phase (white grapes only).
Coal Treatment Date Calculation	Date formula to schedule the coal treatment.
Coal Treatment Date	The calculated date of the coal treatment.
Treated Grape Must	The output item representing coal-treated grape must.

Add grapes

The Vinification Lines subpage lists the grape inputs consumed by this vinification.

In the Vinification Lines subpage, choose Get Linked Entries.
The Vinification Entries window opens, listing the available item ledger entries (from purchase receipts, transfer receipts and production orders) that match the document’s item, variant and location.
For each entry you want to use:
- Tick Selected.
- Enter the Qty. To Handle — the quantity from that entry to assign to this vinification. It must not exceed the available quantity.
Confirm to bring the selected entries back as vinification lines.

Vinification Entries fields

Field	Description
Selected	Tick to include this entry as grape input.
Document Type	Origin of the entry: Purchase, Transfer or Production.
Posting Date / Document No. / Document Line No.	Identify the source document.
Item No. / Lot No. / Location Code	The grape, its lot and where it is stored.
Qty. Received	Total quantity received in the base unit of measure.
Qty. Received (Liters) / (Kg)	The received quantity converted to liters and kilograms.
Qty. To Handle	The quantity you assign to this vinification.
Qty. Handled	Quantity already assigned to other vinifications (no longer available).

The same grape entry can be shared across vinifications: Qty. Handled shows what has already been committed elsewhere, so you never over-allocate.

Resulting lines

Each selected entry becomes a read-only Vinification Line showing the posting date, document type/number, item, lot, location and the Qty. To Handle that will be consumed. Use the Navigate action on a line to inspect all related documents and entries.

Release

Before releasing, you must assign lot numbers to the output products.

When the document is complete, release it to generate the wine treatment production orders.

Automatic creation

When many grape receipts have been posted, you can create vinification documents for them in one operation using the Create Vinifications report, instead of creating each document manually.

What the report does

The report scans posted grape receipts (purchase receipt item ledger entries that originate from delivery orders) and creates one vinification document per group of grapes, grouped by Item No., Variant Code and Location Code. Each created document is populated with date, item, variant and location, and the matching grape entries are added as vinification lines automatically.

Running the report

Search for Create Vinifications using Tell Me.
On the request page, fill in the options and filters:

Option / Filter	Purpose
Posting Date	(Mandatory) The posting date used to filter the grape receipts and assigned to the new vinifications.
Item No. filter	Restrict the run to specific grape items.
Location Code filter	Restrict the run to specific locations.

Choose OK to run.

The Posting Date is mandatory. If you leave it empty the report stops with a message asking you to enter it.

Which entries are included

The report only processes item ledger entries that:

have the specified posting date;
are purchase receipts originating from a delivery order;
have a positive quantity still available (not yet fully handled by other vinifications);
are not corrections.

This ensures grapes already consumed by existing vinifications are not used twice.

After the run

The report tells you what it created and offers to open the result:

Outcome	What happens
Nothing matched	A message informs you that there was nothing to create.
One vinification created	You are asked whether to open the new document; confirm to open the Vinification card.
Several vinifications created	You are asked whether to open them; confirm to open the Vinification List filtered to the newly created documents.

After creating the documents

The batch-created vinifications start in Processing status. Open each one to:

Review the grape inputs and percentages.
Adjust output items and dates if needed.
Assign output lot numbers.
Release the document to generate the wine treatments.

Tips

Run the report per harvest day (using Posting Date) to keep grape batches aligned with the day they were received.
Use the Item No. and Location Code filters to process one grape variety or one cellar at a time.

Lots assignment

Before a vinification can be released, every output product that requires lot tracking must have its full output quantity distributed across one or more lot numbers. The Lot Assignment window guides you through this.

When does it appear?

The Lot Assignment window opens automatically as part of the Release action when one or more output items require lot numbers. You assign the lots, confirm, and the release continues.

The Lot Assignment window

The window has two parts:

An upper list of output items that need lot numbers.
A lower Lot No. Lines part where you enter the lot numbers and quantities for the selected item.

Output items list

Field	Meaning
Item No.	The output item requiring lot number assignment.
Item Description	Description of the output item.
Output Quantity	Total quantity to be produced that must be fully covered by lot assignments.
Qty. Assigned	Total quantity already distributed across lot numbers for this item.
Remaining Quantity	Quantity still to be assigned. It is highlighted while not zero.

The Remaining Quantity must be zero for every item before you can confirm.

Lot No. Lines

For the currently selected output item, add one line per lot number:

Field	What to enter
Lot No.	The lot number for this portion of the output. Use the assist-edit (…) button to generate one automatically (see below).
Qty. to Handle	The quantity assigned to this lot number. The sum of all lines must equal the Output Quantity.

The totals at the bottom of the Lot No. Lines part show:

Output Quantity — total to distribute.
Quantity Handled — sum assigned so far.
Remaining Quantity — still unassigned (must reach zero).

Generating a lot number automatically

On a Lot No. line, choose the assist-edit (…) button in the Lot No. field.
Confirm the prompt to generate a lot number from the item configuration.
The system generates the lot number using:
- the item’s Lot No. Formula (EOS WINE formula), if defined; otherwise
- the item’s Lot Nos. number series.
If the lot number does not yet exist, the corresponding Lot No. Information record is created automatically.

If neither a formula nor a number series is configured on the item, type the lot number manually.

Each lot number must be unique within the assignment — assigning the same lot twice is rejected.

Confirming

When the Remaining Quantity is zero for all output items, choose Confirm. The window closes and the release proceeds. If you cancel instead, the release is aborted and the document stays in Processing.

Output item lot numbers on the card

The output … Lot No. fields in the Items group of the Vinification card show the lot assigned to each single-lot output. For outputs split across several lots, the detailed distribution is managed through this Lot Assignment window during release.

Vinification lifecycle

A vinification document moves through three statuses: Processing, Released and Closed. Four actions on the Vinification card move it between these states.

All four actions are available in the Release split-button on the Vinification card and are enabled only for the status they apply to.

Release

Available when: Status = Processing.

Choose Release to post the consumption and output entries for all vinification phases.

What happens:

If output items require lot tracking, the Lot Assignment window opens so you can distribute the output quantities across lot numbers.
The system creates the wine treatment production orders — one per relevant phase (vinification, fermentation, wine production, cellar surplus and, for white wines, coal treatment), using the reason codes from Setup.
The document status changes to Released and the document becomes locked.

After release, the Wine Treatments section appears on the card.

Reopen released

Available when: Status = Released.

Choose Reopen released to undo the release. The system reverses all posted entries and deletes the wine treatment production orders, returning the status to Processing so you can make corrections.

Close

Available when: Status = Released.

Choose Close to finalise the vinification. The system verifies that all wine treatment production orders have been posted. If so, the status changes to Closed and no further modifications are allowed.

If some treatments are not yet posted, closing is not allowed — post the outstanding treatments first.

Reopen closed

Available when: Status = Closed.

Choose Reopen closed to revert a closed vinification. The system reverses all consumption and output entries generated by the wine treatments, sets the wine treatment production orders to Finished state, and the status returns to Processing so you can make corrections.

Wine Treatments section

Once a vinification is released, the Wine Treatments part shows the production orders in a tree structure:

Level	Shows
Treatment	The wine treatment (production order) for a phase, with its reason code and status.
Prod. Order Line	The production order line(s) under a treatment.
Component	The materials consumed and produced by the treatment.

Displayed details include the Production Order No., Reason Code, Description, Item No., quantities, unit of measure, location, due date and the Prod. Order Status.

Use the Wine Treatments navigation action to open the full-page list, or the Wine Treatments subform embedded on the card.

Action	Purpose
Statistics (F7)	Opens the vinification statistics with total consumed and produced quantities from item ledger entries.
Item Ledger Entries	Shows all item ledger entries (consumption, output, transfers) generated by this vinification, for auditing and traceability.
Wine Treatments	Opens the wine treatment production orders created for this vinification and their posting status.

Posting wine treatments

The individual wine treatment production orders are posted using the standard EOS WINE treatment posting pages. The Tracking Lines part on those pages shows the lot tracking (Lot No. and Quantity Base) for full traceability. Once all treatments are posted you can Close the vinification.

Docs: Sales

Sales

The app lets you link wine sales back to the vinifications that produced them, giving full traceability from the bottle to the original grapes. This is managed through the Entry Details page.

Prerequisites

For a sold item to be linkable, its item category must be classified with a Wine Category Type:

Wine Category Type	Links the sale to a vinification by…
Grape Must	the vinification’s Grape Must output, where the Vinification Date is on or before the sale’s posting date.
Treated Grape Must	the vinification’s Treated Grape Must output, where the Coal Treatment Date is on or before the sale’s posting date.
Fermenting Wine	the vinification’s Fermenting Wine output, where the Fermentation Date is on or before the sale’s posting date.

The sale and the vinification must also share the same Location Code.

Linking a sale to a vinification

Open the Entry Details page (via Tell Me or from a related list).
Locate the sale entry you want to trace (each row corresponds to a sales item ledger entry).
In the Vinification No. field, choose the lookup. The system shows only the compatible vinifications based on the rules above.
Select the vinification. The link is saved and the linked quantities are calculated.

Viewing linked sales on the vinification

On the Vinification card, when sales have been linked, the Sales Details section appears (read-only) showing the sales tied to that vinification: item ledger entry number, document number, posting date, item and lot number.

Statistics

Choose Statistics (F7) on the Vinification card to open the Vinification Statistics page. It summarises the total consumed and produced quantities for the vinification, computed from the item ledger entries, without allowing edits.

Consumption and production charts

The Vinification card can display two charts:

Consumptions Chart — visualises consumption of grapes, grape must, treated grape must and fermenting wine.
Production Chart — visualises production output: stems, destemmed grape, grape pomace, grape must and treated grape must.

These charts give an at-a-glance view of how the batch is progressing.

Sales List

The Sales List page lists all sales item ledger entries (entry type Sale, excluding corrections) with entry number, posting date, document type and number, line number, item, lot, quantity and location code — a convenient starting point for selecting sales to trace.
